Defining and Maintaining Flexitime Rules

The Flexitime Parameters Maintenance screen is used to define and maintain sets of rules for flexitime employees in the organisation.

 

To create a new flexitime parameter, click New on the General tab. To edit an existing flexitime parameter, highlight it in the Flexi Parameters list and edit the required fields.

 

The fields on the General tab are:

Code is a unique alphanumeric code which identifies the flexitime parameter. It can be up to six characters.

 

Description is a more meaningful title to identify the flexitime parameter.

 

Initial start date is the date that the flexitime parameter is effective from. You can enter a date here, or select one from the calendar by clicking on the .

 

Period is used to define whether the flexi period is a calendar month or a fixed period (e.g. four weeks). If you select a fixed period, enter the number of Days in Period for the flexitime calculation.

 

Tick Auto Adjust if you want any excess hours to be automatically adjusted to the minimum and maximum carry over values at the end of each period (e.g. if the maximum you can carry over in any period is 15 hours, any employees who have more than 15 hours accumulated would have their carry over total reduced to the maximum carry over value).

 

Daily Max is the maximum number of hours and minutes that can be accumulated in a single day.

 

Min Carry Over is the maximum number of negative hours and minutes (i.e. the amount of time that the employee is in arrears) that can be carried from one period to the next.

 

Max Carry Over the maximum number of positive hours and minutes (i.e. the amount of time that the employee has in hand) that can be carried from one period to the next.

The Codes tab is used to define which codes adjust the timesheet. There are three lists on this tab:

Adjust Codes is a list of analysis codes which will cause adjustments on the flexi timesheet.

 

Available Codes is a list of all the analysis codes available to this flexitime parameter.

 

Non-adjust Codes is a list of analysis codes which will cause negative number of hours to be displayed on the flexi timesheet.

You can move codes between the lists by highlighting the required code and using the << and >> buttons.

 

The Lists tab is used to select the analysis codes which will be displayed in the flexitime summary area of the employee's timesheet.
